Chief Accountant service

Replacement Accountant

The service involves designating a highly qualified professional of Mac Auditor to handle accounting for the client or support the client in the pre-agreed duties either permanently as the client’s team member until the client finds the right candidate.

In addition to ensuring continuity of service during the absence of team members, our professional may support the client in onboarding new hires and teaching them about the most important issues regarding work in financial accounting software or the document classification and identification system.

The replacement accountant package includes positions from assistants through independent accountants to individuals with competencies of a CFO.

With our comprehensive approach to the needs of our customers, we also offer a replacement professional package in the area of HR & payroll (job positions from assistants through specialists to HR managers) and administration (assistant job).

Tax and accounting services

Our accounting firm provides the client with comprehensive services and assistance in the following issues:

  • calculation of the taxes connected with business activity, such as the CIT, PIT, VAT, preparation and dispatch of the required tax declarations on behalf of the client
  • preparing Standard Audit Files for Tax, e.g. JPK_VAT, JPK_V7M./JPK_V7K,
  • preparing VAT-EU declarations,
  • support in the calculation of other taxes and payments connected with the business, often related to the specific activity of the company,
  • VAT and CIT Compliance,
  • VAT management for foreign entities operating in Poland.

JPK-VAT 

Standard Audit Files for Tax (JPK) is a set of information about the purchases and sales arising from the entrepreneur's VAT register for a specific period. The file must be consistent with the VAT declaration. The document is sent to the servers of the Ministry of Finance only by electronic means.

The JPK_VAT was introduced to improve the efficiency of tax audits. Almost all active value-added tax payers are obligated to transfer the file on a monthly basis (this also applies to the months when the entrepreneur did not have any VAT-bearing transactions). Entrepreneurs making settlements on a quarterly basis are also required to send the JPK_VAT every month.

Mac Auditor’s holistic approach to accounting services also includes the VAT Standard Audit Files for Tax service (JPK_VAT). An entrepreneur who outsources the service to us can feel safe – our professionals prepare the JPK_VAT and send it when due.

 

VAT and CIT Compliance

VAT Compliance is a set of professional services which involve assisting the entrepreneur in value-added tax settlements.

In the VAT Compliance service we:

  • provide support in the registration of taxpayers for VAT/VAT-EU purposes – our specialists verify if an entrepreneur has a registration obligation.
  • keep VAT registers in accordance with the applicable laws, which require every active VAT payer to keep VAT sale and purchase registers,
  • prepare and verify VAT/ VAT-EU declarations and JPK_VAT – we use the clients’ registers to create and send relevant VAT declarations and we additionally support them in the requirement to send VAT-7 and VAT-7K declarations.
  • provide support during tax verifications and inspections
  • provide support in the process of receiving VAT refund.

CIT Compliance

Proper CIT calculation contributes to proper functioning of the business and helps avoid the consequences provided for in the tax legislation.

To respond to the needs of our clients, Mac Auditor offers the following within the CIT Compliance service:

  • calculation of the amount of the CIT due and the advances,
  • assistance in the calculation of deferred tax,
  • preparation of annual tax returns,
  • support for the client during preparations for and in the course of tax audit
  • preparation of comprehensive tax reviews

VAT services for foreign businesses 

In special cases, foreign businesses are also obligated to register in Poland as VAT payers and to settle Polish VAT and submit relevant VAT declarations.

Examples of such entities:

  • foreign entrepreneurs who have their permanent establishment in Poland which they use to provide services or goods where Poland is the territory of their provision;
  • foreign entrepreneurs who do not have their permanent establishment in Poland but who supply goods or provide services in Poland if they are the ones obligated to settle the VAT and not the buyer.

Our specialists help foreign businesses gather the documents required for registration and help them register. They assist them in clarifying problems in contacts with the authorities. Once the taxpayer becomes an active payer, they provide full VAT services. They communicate with the client in Polish or in English.

Preparation of financial statements (e-statements)

As of 1 October 2018, financial statements must be prepared and submitted to the National Court Register (KRS) in an electronic version. Electronic reporting of financial statements (as per the Act) applies to those entities entered in the register of enterprises of the National Court Register which do not prepare financial statements consistent with the IAS and to personal income tax payers who keep accounting ledgers and are obligated to prepare financial statements.

Preparation of e-statements is the responsibility of business managers. They are usually: management board members, shareholders, general partners. The obligation to prepare and submit financial statements in an electronic version has led to the requirement to put e-signatures on documents.

E-statements may be signed with a qualified e-signature or with the ePUAP trusted profile or an e-ID card.

Within the financial statements service, Mac Auditor offers its clients support every step of the way. From preparation, approval, assistance in signing to submission to the National Court Register.

Preparation of  XBRL statements – ESEF 

According to the regulations introduced by a directive of the European Commission, annual financial statements must be prepared in the ESEF (European Single Electronic Format) as of 1 January 2020.

The obligation applies in particular to issuers from the European Union whose securities are admitted to trading in regulated market in the EU. In Poland they are companies from the stock exchange main market.

The main ESEF reporting assumptions are that all annual reports prepared by issuers will be created and published in the XHTML format. As a result it will be possible to read every report via a standard web browser.

Secondly, consolidated financial statements prepared according to the International Financial Reporting Standards (IFRS) will be tagged with the XBRL markup language.

XBRL is an Extensible Business Reporting Language that simplifies and accelerates reporting and analysis of financial information. The basic element of the XBRL is taxonomy, i.e. a glossary with a set of information defining and classifying the terms that may appear in financial statements. For listed companies, there is ESEF taxonomy, which contains terms known from the IFRS.

The new ESEF requirements apply to the financial years starting on or after 1 January 2020. Some changes do not apply until 2022. The new arrangements will become effective in two stages.

At stage one (from 1 January 2020), the basic elements of financial statements other than notes will be tagged in detail.

At stage two (from January 2022), notes to financial statements will be tagged, at a collective level.

Considering that the regulations are brand new and they contain many new and complicated terms and technological abbreviations, Mac Auditor helps its clients prepare financial statements consistent with the ESEF. Our services are addressed to obligated entities which do not have the expertise to prepare the financial statements and lack the required software or do not want to introduce it. The services are adapted to the demands of specific clients to respond to their needs.

In connection with the COVID-19 epidemic, the Polish Ministry of Finance and the Polish Financial Supervision Authority (KNF) have decided to postpone the obligation to apply ESEF in the financial accounting of issuers by one year, while retaining the option to report in this format for 2020.

Consolidation packages

Our experience allows us to prepare consolidated financial statements in an effective, timely and reliable way. Aware that accounting departments of companies not always have staff members who are able to prepare such statements, we offer the support of our specialists. Our consolidation services include:

  • preparing consolidated financial statements consistent with the Polish Accounting Act and the IFRS, including consolidated financial statements of public companies,
  • consolidated management reporting of groups,
  • oversight of month closing processes in groups,
  • deployment of software dedicated to consolidation of groups.

Financial reports for listed companies

Since they are admitted to public trading, listed companies have strictly defined obligations regarding their financial reporting.

Listed companies are required to publish current reports. They include information about contracts, investment in real properties, acquisition or sale of large stock packages. They must additionally present periodic reports with information about the company's financial standing in the form of financial statements.

In accordance with the applicable laws, a company listed in a stock exchange must provide a financial report to the Polish Financial Supervision Authority (KNF), to the stock exchange and to the public (e.g. post it on a website).

Additional restrictions that apply to listed companies include the periods in which they must publish their financial statements. Reports are divided as follows:

  • Q1 report,
  • half-yearly report,
  • Q3 report,
  • annual report.

Management reporting

Management reports are essential from the point of view of managing an organisation or a part thereof. The reports present the most important ratios and their changes in a transparent and elegant form. They also include references to plans, budgets and the previous reporting periods.

The primary objective of management reporting is to take the load off the shoulders of entrepreneurs in their daily duties as much as possible and to help them run their business.

Management reporting at Mac Auditor is discussed with clients on a case-by-case basis. The services are prepared for specific needs of the entrepreneur.

Reporting platform DASHBOARD – Microsoft Power BI 

Standard reporting in Excel is now being pushed out by various modern applications. One of them is the reporting platform DASHBOARD – Power BI.

Power BI is a business intelligence software tool. It grants access to various sources of data which once transformed through visualisation yield legible and dynamic reports. Instead of capturing your data in tables with lines and columns full of numbers, you can present the same information using colours, shapes and sizes of graphic objects.

Advantages of Power BI:

  • reports can be created by users regardless of the level of their IT expertise,
  • as you create a report, you can use data from a spreadsheet, and then model them; such reports are effective and appealing,
  • the form of the reports (visual and interactive) makes it easier to analyse data and quickly draw conclusions,
  • there is a possibility of automatic data downloads,
  • compatibility with the most popular MS Office programmes (Excel and Power Point),
  • the reports on PowerBi.com are available through web browsers and mobile apps,
  • a dynamically developing platform, updates every month – always preceded by an instruction video.

Compilation of financial statements  

The purpose of the compilation engagement is to use the knowledge of our accounting professionals to assist you in gathering, classifying and summarizing financial information.

Compilation of financial statements relies on accounting records, documents, explanations and other documents provided by the management board. The process covers exclusively the data that are supplied the management.

Overdue financial statements 

The purpose of the service is to help our clients prepare any overdue financial statements and management reports and submit them to appropriate institutions, such as the National Court Register (KRS), the tax authority (Article 79 of the Polish Accounting Act).

The service includes:

  • preparing overdue financial statements and management report for the client based on the available documents and data,
  • preparing draft resolutions of the General Meeting (or another competent company governing body) approving the financial statements and management report,
  • assisting the client in submitting the financial statements and the management report to the National Court Register (KRS) and the tax authority.

Electronic document workflow (Comarch DMS, Microsoft Sharepoint)

Based on our experience in working with documents and with software for electronic document workflow, we recommend Comarch DMS and Microsoft Sharepoint.

Comarch DMS (Document Management System) is a tool for simple modelling of various document workflow processes. The highly developed functions help to implement and streamline electronic workflow of e.g. cost invoices, contracts, requests, employee submissions, and to process requisitions or technical documentations.

Advantages of the programme:

  • protection from loss of data; we keep documents in an electronic format, destruction of the hard copy is not a problem,
  • automated and shorter processing time for electronic documents,
  • quick document transmission,
  • cost reduction through limitation of paper documents,
  • comprehensive handling of company correspondence, from system level and app level,
  • reminder about documents pending decisions.

The next tool that we recommend is a Microsoft app – Sharepoint. Its advantages definitely include its compatibility with the Microsoft operating system, which makes it available from the level of a website, an app and a system.

With Sharepoint we can count on:

  • quick registration of incoming and outgoing documents,
  • streamlined document approval process based on parallel and sequential approval paths,
  • optimised time of full document workflow,
  • monitoring of physical document location,
  • access and change control.

Invoicing tools ERP XT 

Over the years of its activity, Mac Auditor has had the opportunity to test many invoicing programmes. Comarch’s ERP XT can be recommended without reservations.

The tool is highly intuitive and user-friendly. According to us and our clients who are already using the software, its most important advantages are:

  • invoicing possible in 10 seconds: if you enter the business partner's tax ID, the remaining data appear automatically (data cross-checked with the GUS (Polish Central Statistical Office) database); invoicing is also possible in a mobile app connected with Android and iOS,
  • a ready document may be e-mailed to the business partner from the level of the ERP software,
  • no need to verify the correctness of the documents, the software always works in accordance with current legal regulations,
  • in addition to the basic VAT, ERP XT can be used to issue margin scheme invoices, provisional invoices, advance invoices and foreign currency invoices,
  • the mobile app can be used to add the goods for the invoice via bar codes read by the phone cameras,
  • the software offers automatic prompts to make the navigation even simpler,
  • the system monitors and reminds about major deadlines, such as submission of VAT declarations to the tax authority,
  • printouts and e-mail templates can be edited to allow every entrepreneur to create their own unique printout, e.g. with company logo,
  • the software has embedded data interchange with electronic banking systems, through files and automatic web services This way you can send transfer packages to the bank system and upload bank statements to the ERP software.

Microsoft Power BI and Comarch Analizy BI

Microsoft Power BI is another tool of this kind. It is used primarily for business analytics, and due to data visualisation it permits creating transparent reports.

With Power BI, entrepreneurs can:

  • follow the achievement of the KPIs,
  • visualise data on maps,
  • create complicated and complex charts,
  • build dashboards.

Microsoft Power BI is a tool based on familiar solutions – Excel. It makes it possible to use data from various sources. You do not have to spend a lot of money to make a full use of all the functionalities (the basic version is free). If you use a CRM, you can fully configure the tools.

Another tool we recommend is Comarch BI Point. With the programme, the entrepreneur is able to discover comprehensive and multidimensional analyses to support business decision-making.
